Introducing our 11 new touchless check-in features

Over the past few weeks, we’ve been closely listening to our customers and making updates to our product based on their needs.

In response, we decided to release 11 new completely contact-free, secure, compliant features as part of our Touchless Check-In offering that helps enterprises safely restart their businesses now and in the weeks to come. (See our full guide to sign-in apps for more information).

What do we mean by a touchless check-in? 

As businesses continue to reopen buildings and facilities across the world following COVID-19 lockdowns, it's important that they adhere to new safety rules and regulations. 

Today, safely screening and managing incoming visitors, suppliers, and anyone else who steps foot on a premises often involves implementing a touchless check-in experience.

A touchless check-in does not require individuals to touch equipment or surfaces upon entry into a building, office, or facility. Limiting surface contact can help reduce the spread of the virus in the workplace.

How Proxyclick’s Touchless Check-In process works

Proxyclick’s Touchless Check-In spans across the period of the entire visit, starting with the day before with our remote registration mobile portal and advanced visitor screening.  (Learn more or join our remote registration beta program here). 

It then covers the day of check-in on the premises, and finally equips businesses with the necessary data tools following the visit. 


1. Before the visit: remote registration.

Remote registration allows for visitors to be screened before they arrive on your premises. Proxyclick will automatically grant or deny access to your building based on the answers they provide in health and safety questionnaires.

Hosts start by inviting their guests through an invitation email. Admins have the option to implement the following new features:

After remote registration has been activated and pre-visit questionnaires are set using Smart Rules, visitors will receive an email before the day of their visit with a link to their pre-visit instructions and questions to answer. Admins can also trigger a reminder if visitors do not complete the remote registration process. 

Add a welcome message

You can choose to send a customized welcome message to visitors that displays as soon as they click on their unique link mentioned above. Here, you can notify visitors of upcoming questions that will be asked, as well as include any additional instructions as necessary.

Add a risk assessment questionnaire

Get access to your existing custom screens, normally shown on your kiosk, to build a workflow and send via the remote registration process. Add or remove questions from the flow. Questions will be yes/no type, optional, and not stored in the visitor profile.

Add images and videos

To highlight health and safety policies at your organization, you can add specific images or videos that visitors must view before arriving. Videos must be watched in full before guests can move on to the next step in the process.

Notifications to hosts 

If you have set up a rule associated with questions that indicates “no check-in,” or denies the visitor access to the premises, an email will be sent to hosts to inform them accordingly. The visitor also has the possibility to contact the host directly from the remote registration portal.

2. Day of the visit: unique QR codes to scan at tablet kiosks and access control points.

If visitors comply with remote registration requirements, they are granted a unique QR code via an email, which allows them access to your building. QR codes can be scanned from the email itself or added directly into visitors’ mobile wallets.

While QR codes can be used at access control points like turnstiles, elevators (via destination dispatch), or doorways, an access control integration via one of Proxyclick’s partnering vendors is not required for QR codes to work. Visitors can simply scan codes at the front desk via the built-in cameras in kiosk tablets.

3. After the visit: automatic data deletion. 

Our Touchless Check-In process includes an automatic data deletion option. This helps organizations only keep sensitive visitor data for as long as necessary, and comply with data privacy regulations like GDPR.

What are the benefits of our Touchless Check-In?

It’s safe. 

Implementing a touchless check-in process to reduce health risks in the workplace is increasingly crucial among organizations today. 

Our Touchless Check-In features allow for no physical interaction with tablet kiosks, thus helping to mitigate current and future risks of the spread of viruses. The process works quickly, which is not just convenient, but also safely reduces reception lines and eliminates the need for paper documents to be passed around in the process. 

However, we fully acknowledge that, as infected individuals can be asymptomatic, they can still make it onto a premises. If you learn that visitors were potentially infected days or weeks after a visit, you can also export visitor contact details in Proxyclick to discreetly and immediately inform those at risk, and adhere to your duty of care as the host

It’s secure.

To enhance security at the front desk and access control points, unique QR codes are provided so that no two individuals can access with the same invitation email. 

Our Touchless Check-In process also encourages hosts to take responsibility, pre-registering guests to reduce the number of unexpected visitors arriving at your premises.

As we move toward an invite-first mentality in the workplace and beyond, vetting people before their visit reduces the number of unwanted guests on your premises. This pairs well with our current security features, such as ID Match and watchlists. 

If a security breach does occur, security alerts can immediately be sent out via text message to all those on the premises.

It’s flexible and compliant.

Touchless Check-In features help your organization adhere to health and safety regulations set by local or national authorities. If these change suddenly, you can make immediate changes to questionnaires or safety guidelines within Proxyclick. 

With our data deletion feature mentioned above, personal identifiable information (PII) captured during the check-in process is stored for a specified data retention period before it’s automatically deleted.

This helps organizations remove sensitive information like visitors’ health data, and better comply with data privacy regulations.

Where we’re headed next 

While we’ve launched these new features to help businesses keep their employees and visitors safe as they return to work, we’re not stopping here.

We understand the need for flexibility in the workplace during this time, and we’re continuing to adapt our product roadmap to meet this need. So an additional wave of features is already in the works, and will be released in coming weeks.
